The following instructions are for creating high-resolution PDFs. To create low-resolution PDFs for web/email proofing, change your compression settings to 72 dpi, or use the screen_mil_1.0.2 setting. To download our Distiller settings click here for Mac, or here for Windows.

Other Windows software:

   Microsoft Office   Pagemaker 7.0   Publisher 2002   QuarkXPress 4.1   QuarkXPress 5.0   QuarkXPress 6.5

How to create PDFs in Windows using...

...Publisher

1. Open fonts in font management program (eg. Suitcase, ATM Deluxe)

2. Open the Microsoft Publisher document and compare the page proof(s)

3. Make sure images/graphics are embedded or linked — [Tools>Commercial Printing Tools>Graphic>Manager]

Sometimes Publisher does not warn you that fonts are missing. Check for missing fonts by comparing page proofs against the digital file and then either find or substitute them.

To fix missing fonts in word-art files use the pointer tool and double click the object (be careful not to move it) then select the font from the pull-down menu.

4. Embed the fonts:
[Tools>Commercial Printing Tools>Fonts]

5. Convert colors to appropriate color space (cmyk, spot, etc).
[Tools>Commercial Printing Tools> Color Printing]. See notes below regarding fills, lines, and shadows.

Fills: Select elements and identify color values for word art files, text, fills etc. Use the pointer tool and double click the object, (be careful not to move it) pull-down the fill color window, click more colors, ..., write the values on the page proof(s), this information will be used later to reenter the color values in Acrobat/Pitstop.

Lines: Repeat step 5b.

Shadows: Select the element, open the [Shadow Settings] window. Click the triangle on the end for a drop down menu, select more shadow colors and write these values on the page proof(s). Shadows that are applied in the format font menu are created with publishers default gray (50% black)

6. Select [File] [Print]. Then choose the [Acrobat Distiller Printer].

7. Click on [Advanced Print Settings] and then make the changes in the figures below.

8. Click [OK]. Then click on the [Properties] (see below). Make the changes below. Then click [OK] [Print] and choose the location of your pdf.
